Add video conferencing to your research sessions

Integrate your preferred video conferencing tool with CleverX to streamline remote research. When you connect Google Meet or Zoom, CleverX automatically handles all meeting logistics—so you can focus on gathering insights instead of managing technical details.

Connecting a video conferencing tool with CleverX will help you:

How Video Integration Works

With your video conferencing tool connected, CleverX will:

  • Automatically create new meeting rooms when sessions are scheduled

  • Generate unique meeting links for each research session

  • Send meeting links to participants in confirmation and reminder emails

  • Update meeting details if session times change

  • Cancel meetings when sessions are removed

  • Handle timezone differences appropriately

All meeting management happens behind the scenes, giving you and your participants a seamless experience.

Connect Google Meet

To integrate Google Meet with CleverX:

  1. Navigate to the Integrations tab from your CleverX dashboard sidebar

  2. Find Google Meet under the Connect video conferencing tool section

  3. Click the Connect button

  4. Sign in with your Google account when prompted

  5. Review and approve the permission requests to allow CleverX to manage meetings

  6. Once connected, you'll see a confirmation message on your dashboard


Important Note: If you've already connected Google Calendar, you may see a message indicating that CleverX already has the necessary access. This is because Google Meet links are created through Calendar events—you don't need to take any additional steps in this case. Just click "Allow" and you're good to go.


Connect Zoom

To integrate Zoom with CleverX:

  1. Go to the Integrations tab in your CleverX dashboard

  2. Locate Zoom in the video conferencing section

  3. Click the Connect button

  4. You'll be redirected to Zoom's authentication page

  5. Sign in to your Zoom account

  6. Review and authorize CleverX to create and manage meetings on your behalf

  7. After successful connection, you'll be returned to your CleverX dashboard

Once connected, all future research sessions will automatically include Zoom meeting links for both you and your participants.

Managing Video Sessions

After connecting your video conferencing tool:

  • New sessions: All newly scheduled calls will automatically include video conference links

  • Viewing links: You can view meeting links for any call from your dashboard or call details page

  • Testing: You can test your connection by joining the meeting link before your scheduled call time

Disconnecting Integrations

If you need to disconnect either Google Meet or Zoom:

  1. Go to the Integrations section of your dashboard

  2. Find the video conferencing tool you wish to disconnect

  3. Click the Disconnect button next to the service

  4. Confirm your choice when prompted

Note: Disconnecting a video conferencing tool will:

  • Stop CleverX from creating new meetings through that service

  • Not affect links that have already been generated and shared

  • Not delete any existing meetings

Troubleshooting

Q: Why isn't my video link appearing in session invitations?
A: Ensure your video integration is properly connected in the Integrations tab. For sessions created before connecting, try editing and saving the session to generate a new link.

Q: Can I use both Zoom and Google Meet?
A: Yes, you can connect both services, but CleverX will use your default preference for new sessions. You can change your default video tool while setting up the call.

Q: What happens if I don't have a paid Zoom account?
A: Free Zoom accounts have a 40-minute time limit for group calls. For longer research sessions, we recommend using a paid Zoom account or Google Meet.

Q: Will participants need accounts to join my video sessions?
A: For Google Meet, participants typically need Google accounts to join. For Zoom, participants can join without Zoom accounts, but they'll need to download the Zoom app or use the web client.
