Update or remove sessions from your calendar if participants reschedule or cancel
Benefits of Calendar Integration
With the Google Calendar integration, you can:
Save time: Automatically sync all scheduled sessions without manual entry
Reduce scheduling errors: Avoid double-booking by seeing your existing commitments
Stay organized: Get calendar notifications and reminders before sessions begin
Manage across time zones: Easily coordinate sessions with global participants

How to Connect Your Google Calendar
There are two ways to connect your Google Calendar:
Option 1: Through the Integrations Page
Go to Settings in your CleverX dashboard
Click on the Integrations tab
Find the Google Calendar section and click Connect
Follow the prompts to log into your Google account
Grant CleverX permission to view and edit events on your calendar
You'll see a confirmation message when successfully connected
β
Option 2: When Scheduling a Session
When creating a new research session, click Connect a calendar above the availability calendar
Select Google Calendar from the options
Follow the authentication prompts to connect your account
Once connected, your existing calendar events will be visible in the scheduling view
Creating Session Schedules
After connecting your calendar:
When scheduling new sessions, your existing Google Calendar appointments will appear as unavailable slots
Select your available time blocks by clicking and dragging on the calendar
Choose your session length (30, 60, 90, or 120 minutes)
Set buffer time between sessions if needed (+0, +15, or +30 minutes)
Adjust your time zone settings to match your participants' locations
π‘ Pro Tip: You can set "Advance notice" requirements to prevent last-minute bookings that might disrupt your preparation time.
β
Managing Your Availability
You can update your availability even after creating a session:
Go to your session details page
Click the Actions button
Select Update availability
Modify your calendar as needed by adding or removing time slots
Important Note: The calendar integration will not automatically adjust your CleverX availability when you add new meetings to your Google Calendar. Be sure to update your CleverX availability if your schedule changes significantly.
β
How to Disconnect Your Calendar
If you need to disconnect your Google Calendar:
Go to Settings in your dashboard
Navigate to the Integrations tab
Click Disconnect next to Google Calendar
Confirm your choice
Note that disconnecting will stop future calendar syncing, but any sessions already added to your calendar will remain unless manually deleted.

Troubleshooting & FAQs
Q: Why aren't all my calendar events showing in CleverX?
A: If your Google Calendar pulls events from third-party sources, those events may not appear in CleverX. Only native Google Calendar events will be visible.
β
Q: Can I connect multiple calendars?
A: Currently, you can only connect one calendar at a time. However, you can create a shared team calendar if you need to coordinate multiple researchers' schedules.
β
Q: What happens if I'm double-booked?
A: If you add a meeting to your calendar that conflicts with time you've already provided in CleverX, you may end up double-booked. Always check both calendars when making manual changes.
