Connect Zoom to your research sessions

How to connect Zoom, use it for your research sessions, and remove it when you're done.

CleverX connects with Zoom so your moderated research sessions run on Zoom automatically. Once you connect your Zoom account, CleverX creates a Zoom meeting for each scheduled session, shares the join link with your participant, keeps it up to date if the session changes, and cancels it if the session is removed. By default, sessions run on CleverX's own built-in video, and you can also connect Google Meet or Microsoft Teams.

What the Zoom integration does

  • Creates a Zoom meeting for each scheduled research session, using your connected Zoom account.

  • Generates and shares the join link with your participant automatically.

  • Updates the meeting if the session's time or details change.

  • Cancels the meeting if the session is removed.

Before you start

  • You need a CleverX researcher account.

  • You need a Zoom account to connect. A paid Zoom plan is recommended, since free Zoom calls have a time limit.

Connecting Zoom

  1. Go to Settings > Integrations in CleverX.

  2. Find Zoom and click Connect.

  3. You'll be taken to Zoom's authorization page. Sign in to your Zoom account.

  4. Review the permissions and click Allow to let CleverX create and manage meetings on your behalf.

  5. You'll be returned to CleverX, and Zoom will show as connected.

To use Zoom for a specific study, select Zoom as the video platform in that study's Scheduling & Availability settings.

Using Zoom in a session

  • When a session is scheduled with Zoom selected, CleverX creates the Zoom meeting and the join link appears on your session, ready to share with the participant.

  • At session time, both you and the participant join with that link.

  • If you reschedule, CleverX updates the Zoom meeting automatically. If you remove the session, the Zoom meeting is cancelled.

Removing the Zoom integration

You can remove CleverX's access to your Zoom account at any time. You can do this from either side.

Disconnect inside CleverX

  1. Go to Settings > Integrations.

  2. Find Zoom and click Disconnect.

CleverX immediately revokes its access to your Zoom account and deletes the stored connection. Sessions already scheduled keep their existing links; only new sessions stop using Zoom.

Remove the app from the Zoom Marketplace

  1. Sign in to the Zoom App Marketplace at marketplace.zoom.us.

  2. Click Manage > Added Apps.

  3. Find CleverX and click Remove.

This revokes CleverX's access to your Zoom account. When you remove the app this way, CleverX also clears the stored connection on its side.

Troubleshooting

  • The Zoom link isn't appearing. Check that Zoom still shows as connected in Settings > Integrations. Access can lapse if your Zoom password changed or your organisation revoked third-party app access. Reconnect if needed.

  • My call ended early. Free Zoom accounts have a time limit on calls. A paid Zoom plan avoids this.

  • Can I use more than one platform? Yes. You can connect Zoom, Google Meet, and Microsoft Teams, and choose which to use for each study. CleverX video is the default and needs no connection.
